You’re in for a treat today. Wake early, pack a small day bag with your essentials and transfer to Sydney Airport (SYD) to check in for your flight. Your airport transfer will be either via coach (for Economy Class travellers), Mercedes-Benz Sprinter (Premium Economy Class travellers) or a two-seater executive/premium sedan (Business Class travellers).

Once onboard the Qantas 787 Dreamliner, chartered privately for our Luxury Escapes tour, relax in your comfortable seat of choice (see below) and take off towards the white continent to witness the vast wilderness of this untamed polar landscape.

Over the course of 12-14 hours (approx. 4 hours over Antarctica), venture high above the clouds and over the coast and mountains of the world’s most unique and enigmatic sights, rarely seen by humans.

Aboard your privately chartered plane, prepare to soar over a continent that escapes the boundaries of perception. At a reduced flying altitude of approximately 20,000 feet, watch as wave after wave of steep snowy mountains pass by, while vast glacial tributaries trickle between them, joining an immense flow of ice carvings out of valleys to the sea. Leaning into the plane’s large windows, with a glass of sparkling in hand, witness the giant crevasses in the ice, some 3km deep, as well as the tongues of glaciers and tops of Antarctic research bases. During the flight, you would typically hope to enjoy several hours of unforgettable viewing (weather permitting).

Should your seat class include it, a seat-swap system allows guests to change between adjacent seats, guaranteeing ample time in one of the two seats closest to the windows. You’re also free to wander the cabin, gazing at the view from the galley or mingling with new friends.

You will be accompanied throughout by the most experienced and knowledgeable Antarctic explorers, who will provide a fascinating insight into the polar environment and its history, as well as personal stories and experiences. Travel Insurance

Passports & Visas

  • A visa may be required. It is the traveller’s responsibility to ensure they’re holding a current visa for the countries they’re visiting. If the traveller is on a non-Australian passport, a valid re-entry visa may be required.
  • Important: Please start arranging your visa at least 6-8 weeks prior to departure to account for any delays due to consulate operating hours and processing time.
  • A valid form of ID is required for all passengers (including children and infants).
  • When travelling within Australia, please check current state/territory border entry requirements to ensure you’re eligible to travel and have completed any required permits or passes.

Photo ID

  • For all international tours, a digital copy of your passport must be provided for each guest by 90/120 days prior to your tour departure.
  • For domestic tours, a digital copy of a government-issued photo identification (passport or driver’s licence) must be provided for each guest by 60/90 days prior to your tour departure.

  • Failure to provide valid photo ID as explained above will result in your booking being cancelled and all monies paid remaining non-refundable.

  • All passengers will require a contactless temperature test before embarking. Those with a fever 38 degrees or higher will be denied boarding but will receive a travel credit for a future Antarctica flight to the value of their ticket.

Flight from Sydney to Antarctica

  • Roundtrip economy class airfares are included in your package, departing from Sydney with Qantas travelling to Antarctica and back. Departures from other cities are not permitted.

Tour Baggage Restrictions

  • There are no facilities for checked luggage on scenic flights. For the comfort and safety of all passengers, it is necessary to limit the size and weight of your cabin luggage in accordance with standard airline practice, consisting of a briefcase or cabin bag not exceeding: 23cm x 34cm x 48cm and not exceeding 7kg.

  • Roundtrip airport transfers from your Sydney hotel to your Antarctica flight vary based on travel class (see below):

Porterage

On occasion, porterage is not included, therefore at times you may be expected to handle your own luggage where help may not be available. Please refer to inclusions if porterage is included.

Fitness Requirements

Travellers acknowledge that they are required to have a good level of health and fitness to undertake the activities in this tour. Further, travellers acknowledge and agree that neither Luxury Escapes nor the tour provider will be able to provide medical or other assistance in the event that they are unable to complete any aspect of the tour as a result of their health or physical condition (nor is Luxury Escapes liable for any loss, damage, expense, injury or death arising from such).

Dietary Requirements

In most cases Luxury Escapes can cater for special dietary requirements but please note that on occasion, this may not be possible due to location, lack of availability of ingredients, and other extenuating circumstances. It is always advised to carry supplies with you.

Any dietary requirements must be received by Luxury Escapes at least 90 days prior to your scheduled departure date. Failure to provide these details by this date may result in an inability to cater for your requirements.

Occasionally our itineraries are updated prior to departure to incorporate improvements stemming from past travellers’ feedback as well as updates from our ground operators. Please note that while we operate successful tours in this region throughout the year, some changes may be necessary due to inclement weather, public holidays, common seasonal changes to timetables and transport routes, and unforeseen circumstances. This can happen with little notice so please be prepared for modifications to the route. The order and timing of included activities may also vary from time to time.

Surcharges

After completing your booking, your tour cost may be subject to additional surcharges as a result of factors beyond the control of Luxury Escapes. Where the cost of delivering your selected tour materially increases between the time of purchase and delivery, Luxury Escapes reserves the right to increase the balance due. Increases may be in relation to, but not limited to, currency fluctuations, taxes, airfares, fuel surcharges or tour costs where those costs have increased for similar reasons. A material increase will be considered once in excess of 10% of the package price.

Any prices quoted exclude specific costs/measures which may be introduced at a later stage as a result of Government changes due to COVID-19 health and safety restrictions. Luxury Escapes will inform its guests of these changes as soon as possible, these additional charges will be passed on by Luxury Escapes to the guest.

7-Day Change of Mind ‘No Questions Asked’ Refund Guarantee: Things don’t always work out. Our 7-day Change of Mind Guarantee is there to help. Bookings (except for cruise bookings and flights) may be cancelled with a full refund provided that cancellation occurs strictly within 7 days from the date of purchase and provided that the cancellation is made no less than 90 days prior to the departure date.

  • offer you a credit for another tour, cruise or accommodation offer, less any third-party costs that Luxury Escapes can’t recover (including from airlines and tour providers), or

  • 25 November 2022 (pre-tour accommodation). Charter flight departs 26 November 2022.

IMPORTANT: Please allow for travelling time. Flights to and from Sydney are not included in your package and must be purchased separately.   • Select which package option you would like, taking care to choose the correct season, length of stay and room capacity (Twin Room or Solo Traveller)

  • Using the plus or minus adjust the number of people you would like to book then click the ‘View Available Dates & Prices’ tab
  • Click the blue ‘Select’ button then the green ‘Review & Payment’ tab at the bottom right of the screen
  • Fill out your preferred payment method and click the green ‘Pay Securely Now’ tab
  • Once your order is complete, you will receive your Luxury Escapes automated booking summary email (this is not your tour confirmation), and you will be prompted to complete your Traveller Details within 7 days of purchase
  • One of our dedicated Tours Concierge Agents will then be in touch no later than 90 days prior to your select departure date to advise the status of your tour and if it has been confirmed. Please refrain from booking flights until tour is confirmed by our Tours Concierge Team

  • You must provide a government-issued photo ID for each guest. All international tours require a passport photo ID.

IMPORTANT: The Twin-Room Package is valid for ONE PERSON (based on twin room). If you are travelling with another person you must purchase TWO PACKAGES, otherwise please purchase a Solo Traveller package.

Age Restrictions

  • This tour is restricted to guests aged 18 years and older.

Group Size

  • Minimum number for this tour to operate is 180 guests. Please do NOT book your flights to and from Sydney until your tour is confirmed. Refer to Booking Process above for further details.
  • Maximum tour capacity is 250 guests.
  • This Luxury Escapes exclusive charter is subject to minimum numbers. If minimum numbers are not met, you can opt to join a charter flight run by our trusted partners. Please note, this will not include the cruise or the hotel stay and any difference in cost will be refunded. In the case our exclusive charter does not go ahead due to minimum numbers not being met, you may also opt for a full refund.

Travel Insurance

  • Travel insurance is strongly recommended. Luxury Escapes recommends purchasing travel insurance as soon as possible after purchasing this package.
  • Luxury Escapes can assist you in purchasing travel insurance through our preferred provider. Please enquire for further information and to see if our policy is suitable for you.

Passports & Visas

  • A visa may be required. It is the traveller’s responsibility to ensure they’re holding a current visa for the countries they’re visiting. If the traveller is on a non-Australian passport, a valid re-entry visa may be required.
  • Important: Please start arranging your visa at least 6-8 weeks prior to departure to account for any delays due to consulate operating hours and processing time.
  • A valid form of ID is required for all passengers (including children and infants).
  • When travelling within Australia, please check current state/territory border entry requirements to ensure you’re eligible to travel and have completed any required permits or passes.

Photo ID

  • For all international tours, a digital copy of your passport must be provided for each guest by 90/120 days prior to your tour departure.
  • For domestic tours, a digital copy of a government-issued photo identification (passport or driver’s licence) must be provided for each guest by 60/90 days prior to your tour departure.

  • Failure to provide valid photo ID as explained above will result in your booking being cancelled and all monies paid remaining non-refundable.

Health & Vaccinations

  • Travellers are advised to check the vaccine requirements for their trip with their local health professional at least 45 days prior to departure, as some vaccines require 30 days or more to be effective. Please check with your health professional that you hold the appropriate vaccination entry requirements for your destination.

  • All guests booked on a Qantas aircraft, must be fully vaccinated with a TGA-approved or recognised vaccine and provide a vaccination certificate issued by a verified source. Refer to Qantas’ terms and conditions for more information.
  • Important: The hotel, transportation and/or destination you are travelling to may have health, insurance and vaccination requirements in place. Please ensure you stay up to date with any requirements prior to your departure.
  • All passengers will require a contactless temperature test before embarking. Those with a fever 38 degrees or higher will be denied boarding but will receive a travel credit for a future Antarctica flight to the value of their ticket.

Flight from Sydney to Antarctica

  • Roundtrip economy class airfares are included in your package, departing from Sydney with Qantas travelling to Antarctica and back. Departures from other cities are not permitted.
  • Preferred seating is the responsibility of the passenger. See package options for details.

Tour Baggage Restrictions

  • There are no facilities for checked luggage on scenic flights. For the comfort and safety of all passengers, it is necessary to limit the size and weight of your cabin luggage in accordance with standard airline practice, consisting of a briefcase or cabin bag not exceeding: 23cm x 34cm x 48cm and not exceeding 7kg.

Transfers

  • Roundtrip airport transfers from your Sydney hotel to your Antarctica flight vary based on travel class (see below):
    • Economy Class: 53-seat coach
    • Premium Economy Class: 12-seat Mercedes-Benz Sprinter
    • Business Class: Private executive/premium sedan

Porterage

On occasion, porterage is not included, therefore at times you may be expected to handle your own luggage where help may not be available. Please refer to inclusions if porterage is included.

Fitness Requirements

Travellers acknowledge that they are required to have a good level of health and fitness to undertake the activities in this tour. Further, travellers acknowledge and agree that neither Luxury Escapes nor the tour provider will be able to provide medical or other assistance in the event that they are unable to complete any aspect of the tour as a result of their health or physical condition (nor is Luxury Escapes liable for any loss, damage, expense, injury or death arising from such).

Dietary Requirements

In most cases Luxury Escapes can cater for special dietary requirements but please note that on occasion, this may not be possible due to location, lack of availability of ingredients, and other extenuating circumstances. It is always advised to carry supplies with you.

Any dietary requirements must be received by Luxury Escapes at least 90 days prior to your scheduled departure date. Failure to provide these details by this date may result in an inability to cater for your requirements.
